AI is a buzzword. What you actually want is a building full of employees, each with a job.
People overcomplicate AI. "AI" is a buzzword. What we're really talking about is agents: bots that can act on their own, and that you give tools and context to.
Tools means they can read your email. They can open your calendar. They can see you're booked Thursday, notice you have a doctor's appointment, and move the meeting without you asking. That's not a chatbot. That's an employee.
So here's how I think about it. Picture an office building.
The building
Different floors for different parts of your life. Each floor has departments. Each department has employees who do one kind of work. Some are managers. Some report to them. They all have hours. They all have access to certain tools and not others.
You are not talking to one AI. You're running a building.
I do it this way for a reason. When you make one AI do everything, it context-switches, and even though it's a robot, it skips things it shouldn't skip. Same as a person juggling ten jobs. So you hire for the job. Strategy gets a smart, expensive model. The repetitive stuff gets a cheaper one that stays focused.
Yes, it's okay to let your life bleed into your business
This is personal preference, but it's mine: everything in my life blends together, and I let the AI see all of it. I have a floor for my health. It reads my charts and my blood work, and it's an ongoing story it understands. It also knows I work hard, what projects I'm on, and that I've got hobbies and goals I'm falling behind on. So when it schedules my week, it's actually helpful, because it has the full picture.
The more context it has, the better it helps you. That's the biggest thing I've learned.
Running it like a job
I have bots on a schedule. Some work nights. Some work weekends. Some hand their work to other bots when they're done. Just like any job: hours, a role, a handoff.
And it doesn't cost what you'd think. I pay $200 a month for Claude's Max plan. At first I kept running out. Now I usually finish the week at 80 to 85 percent of my limit, and some weeks 50. In that, I'm building websites, marketing strategies, mobile apps, video games, editing videos, creating content.
